01 / THE IDEA

Semantic search engine in practice.

Semantic search maps user queries and documents into a vector space so that similar meanings rank highly even when surface words differ. Key engineering concerns include representation choice (TF-IDF versus contextual embeddings), index structure and scale, relevance metrics, and handling noisy enterprise inputs such as scanned text, redacted fields and policy language.

Real-world use case · Proposed extension

A proposed application: help employees find relevant policy sections, contract clauses or support notes by meaning rather than exact keyword matches; any deployment should keep a human reviewer in the loop for legal or compliance decisions.

02 / THE BUILD

How to build a semantic search for enterprise documents project
step by step.

01

Collect representative documents

Assemble enterprise documents, include edge cases like scanned PDFs, redactions and short queries, and split into train/validation/test sets by document, not by sentence.

02

Choose and compute encodings

Compare TF-IDF baselines with transformer sentence embeddings and normalise vectors before building an index.

03

Build a retrieval index

Use an approximate nearest neighbours index (FAISS or Annoy) and tune recall/latency trade-offs on held-out queries.

04

Evaluate and inspect results

Report recall@k, mean reciprocal rank and user-focused failure cases such as missed clauses or incorrect redaction matches.

03 / SOURCE SNAPSHOT

What the semantic search for enterprise documents starter actually does.

The supplied starter implements a small supervised text classifier: it trains a TF-IDF + LogisticRegression pipeline on six short, hand-written sentences with binary labels, prints a classification report on a tiny test split, and shows one sample prediction. It does not implement document encoding for retrieval, an index, or query-to-document matching required for semantic search.

SOURCE EXCERPTPython
model = Pipeline(
    steps=[
        ("tfidf", TfidfVectorizer(ngram_range=(1, 2), min_df=1)),
        ("classifier", LogisticRegression(max_iter=1000)),
    ]
)

model.fit(X_train, y_train)
predictions = model.predict(X_test)
Important limitation

The starter is a binary classifier on six short sentences and does not implement any retrieval or similarity-indexing components. The tiny, non-representative dataset cannot validate retrieval performance and cannot be used to draw conclusions about enterprise document search.

PROPOSED BUSINESS CONCEPT

Enterprise semantic search: a pilot concept

A proposed extension: replace the TF-IDF baseline with sentence-transformer embeddings, build a FAISS index for fast nearest-neighbour lookup, and create a small query UI where users can mark results as relevant to collect real feedback.

WHO IT COULD SERVEInternal knowledge teams
FIRST MVPIndex a small corpus of cleaned enterprise documents with sentence embeddings, provide a query box that returns top-k passages and a feedback button to flag relevance.
KEY RISKEnterprise documents often contain legal or regulatory content; human reviewers should remain responsible for any compliance or legal decisions and the prototype must not be used as an authoritative source without review.

This is a potential application pathway, not a delivered product. The supplied starter does not implement this service or validate it with real users.

05 / WHAT YOU TAKE AWAY

What a semantic search for enterprise documents project puts on your resume.

  • Explain the difference between retrieval and classification and why a retrieval index is needed for semantic search.
  • Compute and compare TF-IDF and transformer-based sentence embeddings for short documents and queries.
  • Build an approximate nearest-neighbour index and measure recall@k and mean reciprocal rank on held-out queries.
  • Design a user-facing feedback loop to collect relevance judgements and monitor drift in query behaviour.

06 / QUESTIONS STUDENTS ASK

Semantic Search for Enterprise Documents project FAQs.

Is this suitable as a final year project for CSE/engineering students?
Yes — it’s an advanced NLP project that covers representation, indexing and evaluation; expect substantial engineering and research work beyond the provided starter.
What skills and tools will I need to complete this project?
Familiarity with Python, NLP libraries (Hugging Face, scikit-learn), vector representations, approximate nearest neighbour indexes, data cleaning and evaluation metrics; some experience with deployment helps.
How should I evaluate progress and how long will it take?
Define milestones: data ingestion and cleaning, embedding model selection, index and retrieval pipeline, relevance evaluation and scalability tests; typical timeline 3–6 months depending on scope and dataset size.
